One Bag, Two Itineraries: A Backpack for Work and Travel

Illustration of a backpack between a city office scene with a laptop and a countryside weekend scene with a map and sunglasses

If you want one bag that handles a Tuesday client meeting and a Saturday city break, choosing a backpack for work and travel comes down to a few centimetres. Ryanair’s free small bag is capped at 40 x 30 x 20cm and has to fit under the seat in front, so a backpack that looks compact in a shop can still cost you a fee at the gate.

Below you’ll find the cabin sizes to design around, the features that earn their place on both kinds of trip, how to pack the same bag two ways, and the battery rules for your laptop and power bank.

What Size Backpack Works for Both Work Trips and Weekends Away?

Start with the airline you fly most, then pick the smallest bag that holds a laptop and two days of clothes. Short-haul allowances in the UK differ more than most people expect:

Volumes are the box each limit allows, worked out from the outer measurements, so a bag’s usable space will be lower once padding and straps take their share. Sizes include handles and wheels, and airlines can change them, so check your booking before you fly.

For most people the sweet spot is a backpack of around 40 x 30 x 20cm. It fits Ryanair’s free allowance and sits comfortably inside easyJet’s free under-seat bag. On British Airways, a bag that deep is over the 15cm personal item limit, but it still counts as your cabin bag. If you hop between several airlines on one trip, our carry-on packing plan for Europe shows how to pack to the strictest allowance.

Here is how one 40 x 30 x 20cm backpack measures up against each allowance:

Does a 40 x 30 x 20cm backpack fit as hand luggage?

One backpack checked against each allowance. The bag’s outer volume is about 24 litres; each bar shows how much of the allowance it fills.

Ryanair free small bag · 40 x 30 x 20cm

Fits

Exactly on the limit, with nothing to spare. Fills 100% of the allowance.

easyJet free under-seat bag · 45 x 36 x 20cm

Fits

5cm and 6cm of room on the long sides. Fills about 74% of the allowance.

British Airways personal item · 40 x 30 x 15cm

Too deep

5cm deeper than the limit, and about 6 litres more than its 18-litre box, so it can’t go free under the seat.

British Airways cabin bag · 56 x 45 x 25cm

Fits

Goes in the overhead locker instead. Fills about 38% of the allowance.

40 x 30 x 20cm is the safest single size across these three airlines. It travels free on Ryanair and easyJet, and counts as your cabin bag on British Airways. Measure with the bag packed, including handles.

Which Features Matter on a Work and Travel Backpack?

A bag that suits an office and an airport needs a short list of features done well. Before you buy, check these on the product page or in the shop:

  • A padded laptop sleeve sized for your own laptop, ideally lifted off the base so the laptop doesn’t take the knock when you put the bag down.
  • Published dimensions. If a brand only says “carry-on compatible”, ask for the measurements and compare them with the table above.
  • A clamshell or wide opening, which makes it easier to pack shirts flat and to pull the laptop out at security.
  • A plain, structured outside that looks fine in a meeting room and stands up on its own under a desk.
  • A luggage strap on the back panel so the bag can sit on a wheeled case when you travel with more.
  • A quick-access pocket for your passport, cards, charger and earbuds.

Materials are a matter of taste and values. Some travellers want hard-wearing nylon, while others look for leather alternatives. Doshi, for example, sells a range of vegan travel bags made from what the brand describes as premium vegan leather and materials such as microfibre and kraft paper. The brand says many of its bags are airline carry-on compatible and fit most laptops and tablets, so check the listed size of the exact bag against your airline and your laptop before ordering.

How Do You Pack the Same Backpack for Two Different Trips?

The trick is to keep a fixed core in the bag and swap the rest. A work trip puts the laptop and smart clothes first; a weekend away frees that space for layers and walking shoes.

Can Laptops and Power Banks Go in Your Backpack?

Yes, and your backpack is the right place for them. The UK Civil Aviation Authority says power banks and spare lithium batteries belong in the cabin and must never go in checked luggage. Its July 2026 guidance also limits you to two power banks per person and says they must not be recharged on board.

Some airlines add their own rules on top, so check yours before the flight. Keeping your laptop under the seat rather than in the locker is also worth the legroom you lose, and our piece on keeping your laptop out of the overhead bin explains why.

FAQ: Backpacks for Work and Weekend Travel

What is the best size backpack for a weekend away?

For two nights, a bag of about 40 x 30 x 20cm is usually enough if you wear your bulkiest shoes and layer. That size also fits Ryanair’s free small bag allowance.

Will a laptop backpack count as my free personal item?

Only if it is within your airline’s under-seat limit, including handles. A 20cm-deep backpack fits Ryanair’s and easyJet’s free bags, but it is deeper than British Airways’ 15cm personal item limit.

Can I take a power bank in my backpack on a plane?

Yes. In the UK, power banks must travel in the cabin, with no more than two per person, and you shouldn’t recharge them during the flight.

Is a vegan leather backpack practical for travel?

It can be, as long as the bag has the features you need: a padded laptop sleeve, published dimensions that match your airline and a structure that holds its shape. Check the care instructions, especially if you travel somewhere wet.
