Crossing Borders While Backpacking: What to Sort First

If your route stitches several countries together by bus, train and ferry, crossing borders while backpacking is where small admin slips cost you a day. The rules stack up quicker than you’d think: in the Schengen area, time in other Schengen countries over the previous 180 days counts towards your 90-day limit, so a slow overland loop can run out of days before you run out of route.

Here’s what to check for each country, where to keep your bookings, how light to pack, and the offline copies and cash that keep you moving when the signal drops.

Quick Answer: What to Sort Before Crossing Borders While Backpacking

Sort the paperwork once, before you leave, and keep each item in two places: one you can reach offline and one that survives a lost phone.

How Do You Check the Entry Rules for Every Country on Your Route?

Check each country separately, and check again a few weeks before you cross, because entry rules change. The UK government’s official foreign travel advice covers 226 countries and territories, with a page each for entry requirements, safety and health, and you can sign up for email alerts on the countries you’re passing through. Non-UK passport holders should use their own government’s equivalent.

The Schengen area is a good example of how much detail sits in those pages. For UK passport holders, the rules on Spain’s entry requirements page look like this:

RuleWhat it means on the road
Passport issued less than 10 years before you arriveAn old passport can fail even with years left on it
Passport valid 3 months after you plan to leave SchengenCount the 3 months from your final Schengen exit date
90 days in any 180-day periodDays in every Schengen country add up together
Return or onward ticket, insurance, funds, accommodationYou may be asked to show any of them at the border
Entry/Exit System registrationFingerprints and a photo on first entry, so allow extra time

Here’s how those checks play out on a real-looking trip, and how to run them on your own dates.

Will this passport pass at a Schengen border?

A worked example for a UK passport holder in Schengen from 1 May to 10 July 2027, with a passport issued 15 June 2017 that expires 15 September 2027.

The three checks

Issued less than 10 years before you arrive

Leaving 10 July 2027, it must be valid until 10 October 2027. It expires 15 September 2027.

No more than 90 days in any 180

Pass

1 May to 10 July 2027 is 71 days, counting both the first and last day.

This passport fails, even with two months left on it. Renew it before you book.

  1. Add 10 years to your issue date. It must be later than your first day in Schengen.
  2. Add 3 months to your last day in Schengen. Your expiry date must be on or after it.
  3. Count every Schengen day in the last 180, including both ends of each stay.

The EU’s Entry/Exit System was phased in from 12 October 2025 to 9 April 2026, replacing passport stamps for non-EU short-stay visitors with a digital record. Overstaying in Schengen can lead to a ban of up to three years, so keep a running tally of your days in a note on your phone.

Where Should You Keep Booking Confirmations?

Keep every ticket, hostel booking and policy in one inbox you use for nothing else. When a coach company emails a timetable change, you want it sitting at the top of the inbox where you’ll see it.

A separate account with an encrypted email provider such as Proton Mail is one way to do it. Proton says it uses zero-access encryption, so it can’t read your inbox, and the free plan includes 1 GB of storage. Know what that covers: emails from booking sites arrive encrypted in transit with TLS and are then stored with zero-access encryption, but subject lines aren’t end-to-end encrypted, and the booking site keeps its own copy. On café Wi-Fi, a strong account password and two-factor sign-in matter just as much as the encryption.

How Light Should You Pack for Overland Border Crossings?

Light enough to carry your whole bag through a border post on foot, because at a lot of land crossings you get off the bus, queue with everything and walk across. Regional airlines and some coaches also charge for extra or oversized bags.

For what’s worth the space, our round-up of travel essentials frequent travellers actually recommend covers adaptors, bags and the kit that earns its weight on long trips. Keep your passport and phone in a zipped pocket you can reach without unpacking, since you’ll be asked for both more than once in a day.

Offline Copies and a Cash Reserve for When Things Go Wrong

Signal disappears in tunnels, mountain passes and the no-man’s-land between two border posts. Download PDFs of every ticket, booking and insurance policy to your phone before you leave the hostel Wi-Fi, and keep a photo of your passport photo page alongside them. If you’re relying on mobile data for the rest, our explainer on whether an eSIM works overseas for UK travellers covers the options.

Carry a small cash reserve in a widely accepted currency such as euros or US dollars, split between your wallet and an inside pocket, for the day the card machine is down. Keep it small: anyone entering or leaving the EU with €10,000 or more in cash must declare it, and undeclared cash can be detained.
